PRAGMATIK FEATURES OF FORMAL ENGLISH TEXTS

Abstract:
Formal English texts, such as legal documents, administrative reports, and
academic writings, are governed by strict linguistic conventions. Beyond their overt clarity and
precision, these texts often encode hidden or implicit meanings through pragmatic devices. This
article examines the pragmatic characteristics of formal English texts, focusing on how politeness
strategies, mitigation, indirectness, presuppositions, and implicates contribute to the deeper layers of
communication. Examples from authentic formal documents illustrate the balance between
explicitness and pragmatic subtlety.

Introduction.
Formal English writing, dominant in legal, administrative, and academic fields,
is typically associated with precision, objectivity, and clarity. However, beyond explicit wording,
these texts often carry hidden meanings essential for understanding the full communicative intent.
Pragmatic strategies—such as indirectness, presupposition, hedging, and implicates—play a crucial
role in embedding such meanings while maintaining a professional tone. The objective of this study
is to explore how implicit messages are pragmatically encoded in formal English texts and how
these contribute to the texts’ communicative effectiveness.
Modal verbs pragmatically encode politeness and legal responsibility without issuing harsh
imperatives.
Methodology.
The research adopts a qualitative discourse-pragmatic approach. A
representative corpus of formal English texts was compiled from legal contracts, academic journal
articles, and administrative memos. Texts were selected to reflect diverse domains yet maintain
formal style. The corpus (approx. 100,000 words) was analyzed using pragmatic theories such as
Grice’s Cooperative Principle (1975), politeness theory (Brown & Levinson, 1987), and
institutional discourse frameworks (Drew & Heritage, 1992). Texts were examined for indirect
speech acts, modal verbs, hedging devices, nominalizations, and the use of passive voice—all
indicators of pragmatically motivated formal strategies.[1]
Results.
Impersonal and direct structures:
Formal texts frequently employ impersonal and
indirect structures.
Instead of saying “
You must respond by Monday,”
a formal directive would appear as:”
A
response is required by Monday
”. This passive and agentless structure minimizes direct imposition
and shifts focus from the speaker to the action.
Modality:
Modal verbs such as
shall
,
must
, and
may
serve specific pragmatic functions in
formal texts. [2]For instance:
“The applicant shall submit the documents within 14 days.”
This expresses obligation without
the interpersonal pressure of
“You must…”
Hedging and Cautious Language:
To express uncertainty or avoid overstatement, formal texts
often employ hedges:
“It appears that the results may suggest a correlation…”
Here,
appears
and
may
protect the speaker from making absolute claims.
Pragmatic use of Nominalization:
Actions are turned into nouns to abstract the actor and
increase
objectivity:
“The
evaluation
of
the
proposal
is
underway.”
Instead of directly stating who is evaluating, the nominal form focuses on the process.
Institutional Politeness and Deference:
Phrases such as
“Kindly be advised…”
,
“It is
respectfully submitted…”
show deference while performing formal illocutionary acts.

Discussion.
The analysis reveals that pragmatics plays a central role in constructing formality
in English. Formal texts avoid face-threatening acts by relying on indirectness and de-
personalization, which allows institutions to exercise authority while appearing neutral or polite.[3]
The use of modality and hedging supports this by indicating obligation or uncertainty without
overt assertiveness. Moreover, nominalization and passive constructions contribute to an objective
tone, reducing personal accountability and focusing on actions or processes. These strategies serve
the institutional goal of establishing a serious, respectful, and non-confrontational communicative
environment.[4]
In legal writing, for example, avoiding first or second person pronouns prevents ambiguity and
maintains formality:
“The agreement shall be deemed effective…”
Here, the impersonal structure
implies shared institutional responsibility and legal neutrality. These pragmatic features, while
sometimes appearing vague or wordy, are essential in contexts where misinterpretation or
emotionality could have serious consequences—such as courts, academic peer review, or
government regulation.[5]
Conclusion.
English texts utilize a range of pragmatic strategies to achieve clarity, neutrality,
and institutional appropriateness. Indirectness, hedging, modality, and impersonal structures are not
merely stylistic preferences—they serve specific communicative functions that align with the goals
of the genre. Understanding these pragmatic features is essential for academic writers, legal
professionals, and administrators to maintain effective, professional discourse.
